Privacy policy
How Sports Tourz handles your personal data. Last updated: September 2026.
Who we are
This privacy policy applies to the website of Sports Tourz and to the personal data we process when you contact us, request a tour proposal or sign up for our newsletter. Sports Tourz is the controller for this processing within the meaning of the General Data Protection Regulation (GDPR).

What personal data we collect
When you use our tour request form, we collect the data you enter: your name, email address, phone number, club, school or organization, country, details about your team (such as sport, team type, age group, level, number of players and number of staff), your travel wishes (such as destinations, travel period, number of nights and interests), your message and, if you choose to add one, an uploaded file such as a team photo or an existing itinerary.
When you sign up for our newsletter, we collect your email address.
When you contact us by email, phone or WhatsApp, we process the data you share with us in that conversation, such as your name, contact details and the content of your message.
Please only share the information we need to prepare your proposal. If your request concerns a youth team, you do not need to send us names or other personal details of the players at this stage. Only upload a photo of people if they, or their parents or guardians, agree to it.
Why we use your data and on what legal basis
We use the data from the tour request form and from your emails, calls or messages to answer your questions, contact you about your request, prepare a tailor-made tour proposal and, if you book, plan and carry out your tour. The legal basis is taking steps at your request before entering into an agreement, and the performance of that agreement once you book (Article 6(1)(b) GDPR). Where you contact us with a general question, we rely on our legitimate interest in answering it (Article 6(1)(f) GDPR).
We use your email address to send you our newsletter only if you have signed up for it. The legal basis is your consent (Article 6(1)(a) GDPR). You can withdraw your consent at any time with the unsubscribe link in every newsletter or by emailing us. This does not affect the lawfulness of sending before you withdrew.
If you book a tour, we keep booking and invoice data to meet our legal obligations, such as tax and accounting requirements (Article 6(1)(c) GDPR).
Who processes your data for us
Our forms are processed by FormBold, a form service that receives the data you submit and forwards it to us. Our website runs on the servers of our hosting provider. Both act as processors on our behalf and may only use your data to provide their services to us.
When we organize your tour, we share the data needed for the booking with the partners that carry it out, such as hotels, clubs and transport companies, and only to the extent needed for your tour.
If a processor stores data outside the European Economic Area, we make sure appropriate safeguards are in place, such as the standard contractual clauses of the European Commission.
We do not sell your personal data, and we do not share it with third parties for their own marketing.
How long we keep your data
We keep data from tour requests and related correspondence for up to 2 years after our last contact, so we can follow up on your request or a later request from your team. If no booking follows, we delete it after that period.
If a booking follows, we keep the data needed for the booking for as long as the law requires, for example the seven-year retention period for financial records under Dutch tax law.
We keep your email address for the newsletter until you unsubscribe.
Cookies and tracking
Our website does not use tracking cookies or marketing cookies, and we do not use analytics tools that follow you across other websites. The website may use technically necessary functions to work properly, for example to remember your language choice. These do not require your consent.
External links
Our website contains links to external services such as Instagram and WhatsApp. When you follow such a link or contact us through one of these services, the privacy policy of that service applies. We have no influence on how these companies process your data, so please read their privacy policies.
Security
We take appropriate technical and organizational measures to protect your personal data against loss and unauthorized access. Our website uses an encrypted connection (HTTPS), and only the people in our team who need your data for your request have access to it.
Your rights
Under the GDPR you have the right to access your personal data, to have it corrected or deleted, to restrict its processing, to object to processing based on our legitimate interest, and to receive your data in a structured, commonly used format (data portability). Where we process data based on your consent, you can withdraw that consent at any time.
To use one of these rights, email us at hello@sportstourz.eu. We respond within one month. We may ask you to confirm your identity before we act on your request.
If you believe we are not handling your personal data correctly, please contact us first so we can try to resolve it. You also have the right to file a complaint with the Dutch Data Protection Authority, the Autoriteit Persoonsgegevens (autoriteitpersoonsgegevens.nl).
